Privacy Notice

1. About this notice
Buzz Branding respects your privacy. This notice explains how we collect and use personal information when you browse our website, create an account, upload artwork, use our gang sheet builders, place an order or contact us.
It also explains who may receive your information, how long we keep it and how you can exercise your privacy rights.
This notice is intended to explain our practices under South Africa’s Protection of Personal Information Act, 2013 (“POPIA”). Visiting our website does not, by itself, mean that you consent to every use of your information.
2. Who is responsible for your information?

3. Information we collect
Depending on how you interact with us, we may collect:
Contact and account details: Your name, email address, telephone number, business details and information needed to manage your account and sign-in.
Orders and enquiries: Products selected, quantities, sizes, quotation requests, billing details, delivery addresses, selected collection lockers, collection arrangements and correspondence about your order.
Artwork and gang sheets: Files you upload, designs, photographs, names, logos and other content contained in your artwork, together with the layout and dimensions needed to produce your order.
Payment information: Payment status, transaction references and payment-related information received through the payment process. The precise information depends on the payment method used. We do not store full card numbers on our systems.
Website and security information: Technical information generated when you use the site, such as IP addresses, browser details, timestamps, session information and security logs, where collected by our systems.
Preferences: Your recorded choices about marketing and any optional cookies or similar technologies, where such choices are offered.
We generally receive information directly from you. We may also receive relevant transaction or delivery updates from service providers, or information from someone placing an order on your behalf.
4. Why we use your information
We use relevant information to:
- respond to enquiries and prepare quotations;
- create and administer customer accounts;
- operate the gang sheet builders and process uploaded artwork;
- produce orders and arrange delivery or collection;
- process payments, refunds and order-related queries;
- communicate about orders and account security;
- prevent misuse and investigate technical problems;
- maintain necessary business records; and
- send marketing communications where permitted.
We rely on an appropriate lawful basis for each purpose, such as fulfilling a contract, complying with a legal obligation, pursuing a justified legitimate interest or obtaining consent where required.
Fields essential to an order or account should be identified when information is requested. If you do not provide necessary information, we may be unable to deliver the relevant service. Optional marketing choices do not determine whether you may place an order.
5. Uploaded artwork and gang sheet files
Your artwork may contain personal information about you or other people. Please provide only information necessary for the project and ensure you have appropriate authority to supply third-party content.
We use submitted artwork for the requested design, printing, fulfilment and support work, with access limited to people and service providers who need it for those purposes.
We will seek separate permission before displaying identifiable customer artwork, photographs or completed projects in our portfolio, on social media or in advertising. Placing an order is not automatic permission for promotional use.
6. Payments
Payments are handled using the payment options available at checkout.
Card payment provider: Yoco
Where bank details are configured, electronic funds transfer (EFT) may also be offered. Card details entered through a provider’s hosted checkout are processed under that provider’s privacy notice. Buzz receives the information needed to identify the transaction, confirm payment and administer the order.
7. Who receives information?
Relevant information may be shared with service providers involved in delivering our services, including:
- website hosting, storage and technical support;
- payment processing;
- email and customer communications;
- courier and locker delivery services, including PUDO where selected;
- production partners or suppliers, where needed for your specific order; and
- professional advisers where required for business administration or a dispute.
For example, a courier may need your name, delivery address and contact number, but does not ordinarily need your artwork.
We may also disclose information where lawfully required by a court, regulator or other competent authority.
9. Marketing communications
We send electronic marketing where you have consented or where POPIA’s existing-customer exception applies and its conditions are met. That exception concerns our own similar products or services and requires appropriate opportunities to object.
You can unsubscribe using the option in a marketing message or contact us to stop receiving marketing.
Order confirmations, payment updates and necessary account-security messages are different from marketing. Unsubscribing from promotions does not prevent us from sending messages needed to administer your account or order.
10. Accounts moved to our new website
Existing customer accounts were carried over to the new Buzz Branding website, but their previous passwords were not transferred. Returning customers must create a new password using the password-reset process.
The migration does not create fresh marketing consent or cancel an existing unsubscribe preference.
11. Information processed outside South Africa
Some hosting, storage, communications or other service providers may process information outside South Africa. For example, card payments are initiated through Yoco’s hosted payment service, and website fonts may be loaded from a third-party content delivery network.
Where international transfers occur, they must have an applicable basis under section 72 of POPIA. This notice is not blanket consent to unrestricted overseas processing.
12. How long we keep information
We retain information for as long as needed for its stated purpose, applicable record-keeping requirements or a legitimate reason such as resolving a dispute.
Different records may have different retention periods. Keeping an invoice does not automatically require keeping all uploaded artwork for the same period.
Unpaid or orphan artwork uploads are currently set to expire after 14 days. Other records — including customer accounts, orders, invoices, enquiries, completed-order artwork, technical logs, backups and consent records — are retained according to operational and legal requirements and may be reviewed from time to time.
After the relevant period, information should be deleted, de-identified or otherwise handled according to our retention process. Account deletion may not remove records that must lawfully be retained.
13. Protecting your information
We take reasonable technical and organisational measures appropriate to the information we handle. No website or transmission method can be guaranteed completely secure.
Choose a strong, unique password and keep password-reset links private. Buzz will not ask you to send your password by email, telephone or WhatsApp.
If we have reasonable grounds to believe that personal information has been accessed or acquired without authorisation, we will assess and respond to the incident and notify the Information Regulator and affected people where required by POPIA, as soon as reasonably possible.
14. Your rights and requests
Subject to the applicable requirements and exceptions, you may ask to access personal information we hold about you, correct inaccurate information, request deletion where justified, object to relevant processing or withdraw consent for future consent-based processing.
Contact us using the details above. We may request proportionate identity verification before releasing or changing information. Some requests may require a prescribed process; we will explain the relevant steps.

15. Children’s information
Orders and customer accounts should be managed by an adult or an appropriately authorised representative.
Artwork may nevertheless include information about children, such as names or photographs. Please do not submit such information without the necessary authority. Buzz must assess the applicable safeguards and lawful basis before processing children’s information; a customer’s upload does not, on its own, establish compliance.
16. Changes to this notice
We may update this notice when our services or information-handling practices change. The revision date will identify the latest version.
Where a change requires additional notice or fresh consent, we will take the necessary steps. Continuing to browse the website is not automatic consent to a new, unrelated use of your information.
